The Microsoft Authenticator App is used to approve sign-in requests to Microsoft connected applications such as the O365 Portal, Outlook, Teams, Mimecast, and Freshservice. 


To setup the Authenticator App, follow the instructions below. Please note that screen shots and steps may vary slightly from Apple to Android devices. The illustrations below match the Apple iPhone/iPad enrollment process. 



1. Navigate to https://mysignins.microsoft.com/security-info and sign in (if necessary) with your Microsoft credentials   

2. Click the "Add sign-in method"

3. Select "Authenticator App" from the drop down shown

4. Click Add

5. You will be presented with this screen

6. Download Microsoft Authenticator from the App Store. Once the app is downloaded, you can proceed with setting up or converting to the App. 

7. Click Next from the website on your computer

8. Click I Agree


9. Click Scan a QR Code (easiest option) from your phone -or- Select Add Work or School Account (longer process)

10. From your computer, click Next

11. A screen like the one below will open. Scan that QR code with your phone.

12. Click Next

13. The Authenticator App will now activate your account. You should receive a confirmation your account has been successfully added. 

14. Now return to the website and click Next


15. The system will now send a test verification prompt to your device. Click Approve on your phone. 

16. You should receive approval screen below on your computer.

17. Click Next to complete your enrollment

     a. Android Users: If you receive a prompt stating App Lock enabled, click Ok and then enable notifications.

18. Now return to the website and click Change next to the Default Sign-in method


19. Click the drop down and select the desired authentication method

     a. Microsoft Authenticator  - notification (Preferred & Easiest)

     b. Authenticator App or Hardware token - code

     c. Phone - Text

     d. Phone - Call

20. Click Confirm


21. If you chose Microsoft Authenticator - notification, your options should look similar to this. 


You are now ready to use the Authenticator App to approve future sign-in requests.


Note: If you wish to setup/modify your other challenge methods, such as add/remove additional phone numbers or email addresses for purposes of self-service password reset, you can do so from the screen in step 21. Just click "Add sign-in method" for each requested method.
